Terms of use

Membership service terms · version 3 · 3 September 2026

Using the service

A parent or guardian submitting a registration must have authority to provide the requested information and permissions for the Youth Member. Information must be accurate and kept current, especially primary, secondary-contact, medical and additional-needs details.

The secondary contact must be another trusted adult with a different mobile number who has agreed to be contacted if the primary parent or guardian cannot be reached or does not collect the Youth Member. The person may be a parent or guardian, relative or other trusted adult.

Eligibility and places

A registration is a request, not confirmation of membership or a guaranteed section place. Age is assessed at the start of the Scout Year using national section guidance. Where ages overlap, a parent may indicate a suitable section, but the group makes the final placement decision after considering capacity, available Scouters, safeguarding and the Youth Member's needs.

The group may ask for clarification, propose another section, place a request on a waiting list or decline it where a safe, appropriately supported place is not available. Payment alone does not create or guarantee membership.

Activities and collection

An event invitation or response does not guarantee a place until the group confirms it and, where applicable, payment succeeds. Families must follow the stated meeting, equipment, medical-update and collection arrangements. If the nominated collector does not arrive and the primary contact cannot be reached, the group may call the secondary contact and take any proportionate safeguarding action needed to keep the Youth Member safe.

Activities may be changed, postponed or cancelled for safety, staffing, weather, capacity or other operational reasons. The group will use the recorded contact details for material updates.

Payments

Card payments are handled by Stripe; the group does not store full card details. A payment may still require authentication or fail. Where a registration cannot be accepted, any payment must be refunded before the registration is finally declined. Event and membership refunds otherwise depend on the relevant costs, commitments and group policy and are recorded by an authorised officer.

Availability and corrections

The service may occasionally be unavailable for maintenance or because a provider is unavailable. A screen or email does not override the group's verified membership, safeguarding or accounting record. Tell the group promptly if a confirmation appears wrong so it can be checked and corrected with an audit trail.

Privacy and changes

Personal information is handled under the privacy notice. Material changes to these terms or the registration policy will be versioned and shown before new agreement is requested; existing recorded permissions remain linked to the wording accepted at the time.
